Online HR Services

Online HR services deliver employment advice and support remotely, by telephone, email, and video, rather than through visits to the employer’s premises. For most small and medium-sized businesses, this has become the normal way of working with an HR provider, and for good reason. The advice is available more quickly, the documents arrive in a form that can be used straight away, and the business is not limited to providers within travelling distance.

GAP HR has supported owner-managed businesses since 2003 and holds more than 300 clients on retainer, and the great majority of our work is now delivered remotely. That reflects how our clients prefer to operate rather than a change in what we do. The advice is given by the same qualified advisers, the documents are prepared to the same standard, and the relationship with the business is the same as it would be if we were based in the next office. What changes is the speed and convenience with which the support reaches the people who need it.

What Do Online HR Services Include?

The core of the service is advice. An employer with a question about an employee, a contract, a process, or a change in the law contacts an adviser by telephone or email and receives a clear answer, usually the same day. Where the matter is more involved, a video meeting allows the adviser to talk the situation through with the owner or manager, review documents together and agree the next steps.

Contracts, handbooks, policies, letters, meeting scripts, investigation reports, and settlement paperwork are all prepared and delivered electronically, which means they can be reviewed, amended and issued without delay. Legal updates, guidance notes, and reminders about key dates are sent in the same way.

Support during a process can also be delivered online where our client prefer. An adviser can prepare a manager for a difficult meeting, join it by video where that is appropriate, and review the notes afterwards. For most disciplinary, grievance, absence, and performance matters, the entire process can be managed in this way from first concern to final outcome.

How Do HR Services Online Work In Practice?

A typical arrangement begins with an initial review, conducted by video and by exchange of documents, in which the adviser gets to know the business, its people, and its existing paperwork. From that point, the employer has a direct line to an adviser who understands the context, and contact is made as issues arise. Most questions are dealt with by telephone or email on the day they are raised. Documents are prepared and returned electronically, usually within the same working day for routine matters and within an agreed timescale for larger pieces of work.

The relationship is continuous rather than transactional. The adviser builds up a picture of the business over time, which means that advice becomes faster and more precise, and that patterns, such as a manager who repeatedly reaches the same difficulty or a role that keeps producing the same complaint, can be identified and addressed.

For businesses with more than one site, or with staff who work remotely, online delivery has a particular advantage. The advice and the documents reach every manager in the same form at the same time, which helps to keep processes consistent across the organisation.

Is Online HR Support As Effective As Having Someone On Site?

For the large majority of HR matters, yes, online HR services can be just as effective as those provided in person. The quality of advice depends on the knowledge and judgement of the adviser and on how well they understand the business, not on where they are sitting. A telephone conversation with an experienced adviser who knows the organisation is worth considerably more than a site visit from someone who does not.

That said, there are situations where a physical presence is helpful. A large-scale redundancy exercise, a sensitive investigation involving several witnesses, or a meeting where the employer wants an independent person in the room may all be better handled in person, and a provider that works mainly online should be able to arrange that when it is needed. The point is that those situations are the exception. Treating every matter as if it required a visit adds cost and delay without improving the outcome.

What Should An Employer Look For In An Online HR Provider?

The first consideration is ensuring your matter is handled by someone who knows your business. A service that routes calls to whoever is available, or that relies on a generic helpline, cannot build the understanding of the business on which good advice depends. The employer should expect to deal with a named adviser or a small team, and to speak to the same people over time.

The second consideration should be how responsive your HR service provider is. Online delivery should mean faster service, not slower. An employer who has to wait several days for a reply to an email, or who cannot reach an adviser by telephone when a situation is developing, is not receiving the benefit that online delivery is supposed to provide.

The third consideration is the quality of the documents your HR provider supplies. Templates have their place, but contracts, handbooks and process letters should be prepared for the business concerned, reflect how it actually operates, and be kept up to date as the law changes. That matters especially now, with the Employment Rights Act 2025 bringing changes into force in stages through 2026 and 2027 and requiring most employers to update their written particulars, probation procedures, and family leave policies, and many to revisit their arrangements for casual and variable-hours staff.

How Secure Is Online HR Support?

Employment matters involve personal data, and often sensitive personal data, such as health information or the details of a complaint. An online HR provider should handle that information in accordance with data protection law, should use secure methods for sending and storing documents, and should be able to explain its arrangements when asked. The employer remains responsible for its own staff data, so it should satisfy itself that the provider’s practices are sound before sharing information with it.

How Can GAP HR Help With Online HR Services?

We provide retained and ad hoc HR support to owner-managed businesses, delivered by telephone, email, and video by advisers who get to know your business and are available when you need them. Documents are prepared for you and delivered electronically, legal updates are sent as the law changes, and where a situation calls for someone on site, we can arrange that too.

There is no charge for an initial discussion and no obligation to take matters further. Call us now on 01491 598 600 or Click Here to Make An Enquiry and we will be delighted to help you.
